Airbnb export · Booking.com reservation statements and payouts · Cloudbeds Transactions report, Reservations export and Payouts by Transaction Date. The Cloudbeds files alone give a provisional report; the Airbnb and Booking.com files finalise it.
| File | Where to get it |
|---|---|
| Airbnb export (CSV) | Airbnb → Transaction history → export reservations & payouts for the year to date. One file per Airbnb account. |
| Booking.com reservation statements (CSV) | Extranet → Finance → Reservation statements. The close month and the month after it (stays that leave in the next month are on that statement). A group-level statement covering several properties is split by hotel automatically. |
| Booking.com payouts (CSV) | Extranet → Finance → Payouts, with every line of each payout (guest payments and deductions). |
| Cloudbeds Transactions report (XLSX) | Reports → Transactions, by posting date, from 1 January to date — the folio ledger. |
| Cloudbeds Reservations export (XLSX) | Insights → Reservations by Booking Date for the year, with Reservation Number — gives each ledger stay its booking source. |
| Cloudbeds Payouts by Transaction Date (XLSX) | Cloudbeds Payments payouts for the month and the month after. |
| Booking.com commission invoices | Optional: enter the invoice amount, date and month on the entity's Set-up tab for the commission payable roll-forward. |
Cloudbeds files carry no property name. Put the property name in the file name, or assign the file once: the tool remembers the reservations it saw and places next month's files itself.
One line per entity for the close month. Choose an entity in the header to see its full report.
The report that goes to the client: one row per channel, revenue on the nights slept, commission and tax as the channel files show them.
Accrual basis. Prior-year nights and nights after the close month are shown in their own columns and never mixed into the month.
One balanced entry per month. Each clearing debit equals what that cash channel released or charged in the month, less card fees.
One clearing account per place the money comes from. The closing balance should always be the money released but not yet in the bank, listed below for the selected month-end.
Tax payable per channel is the greater of what was collected from guests and the property rate on revenue recognised; the Airbnb-remitted part is memo only.
High: fix before posting. Medium: confirm. Low: note.
One set-up per entity: names used in file names, Booking.com hotel id, Airbnb listings, rates and accounts. Saved in this browser. New entities start as a copy of the one selected.
Optional. One per line: amount, invoice date, month invoiced — e.g. 5461.95, 2026-06-06, 2026-05
